Through my 20-something years of teaching, I think I can safely say that communication is the key to successful leadership, teaching, mentoring, and learning.  It’s not easy to develop the kind of communication that brings coworkers together while motivating and encouraging those around you.  It’s a huge concept and so many books have been written with so many perspectives and approaches.  It’s been included in all of my studies from grade school through my current studies in my doctoral program.

Through all of this, my “aha” is that every organization and every person in that organization must continually focus on communication.  I don’t think there is ever a moment to say “OK, we have that down now, what’s next on our list?”    Continually striving to improve communication procedures, priorities, and thinking must be on the top of to-do list whether it’s communicating with the students in  your classroom, the parents of those students, or an entire district or corporation.  Communication.  One word with so much power to bring about triumph or disaster.

I am personally making it  my goal to be aware of the communication process that I am part of in all aspects.  Even in my position, I need to look for ways to improve and to hear those who are affected by me so I can work with them to respond accordingly.  I can learn from all communicators, strong or weak, as it is important to know what not to do as it is to have a grasp on what to do.  Everyone is a teacher when it comes to communication and can provide valuable insight into formulating personal policies that may later translate to actions that impact many.

Improving Communication…that is my goal.   I’ll start today with my family and continue with all of those who enter my life.  And, I promise never to say “I’ve figured it out.” :)

Cortex Sharing Tool for Google Chrome: Fast Sharing And It’s Cool!

Check out this FREE tool for sharing items on the web quickly on Facebook, Twitter, Instapaper, Pocket, Posterous, or Tumblr! Cortex does a great job! Fast, fast, fast! Very useful tool!

This download provides a great interface for sharing with your favorite sites fast!  Just go to the Google Chrome store and download the app.  It works for Windows and Mac.  Link your accounts so you can share to them.

When you are ready to share something, place your mouse anywhere on the page to share the entire page or over an image to share just the image.

Hold down the left mouse key button for 1 second to activate Cortex.

Choose your service.  If you let go quickly, your message will be shared.  If you want you can also add a message and press enter.

To select multiple services, select “Multiple Services” at the bottom of the form.

REALLY Apply those 4 D’s, Day 2 – Part 9 in a a Series – Email Mgmt for Educators

Hello everyone!  Now, here’s the big question, did you try out the 4 D’s?   


Part 9 of our series focuses on those 4 D’s.  You may have been too busy or too tired or a million other things and I bet those are all very true but to make this work, you have to at least give this plan a shot.  So, take a moment and try applying the 4 D’s to your email:  Do It, Defer It, Delegate It, Delete it.

I want you to know that I gave it a shot today and was amazed at how much sense it made.  I’ll be honest with you, I didn’t get through all of my backlog or inbox but I did make great progress and I have that awesome feeling of having made good progress towards the goal.  If you really don’t have the time, at least try the 4 D’s with 5 emails.  Right now, just go to your inbox and sort your top 5 emails using the 5 D’s.  Let me know how it worked for you.

I’m actually excited about continuing the process! 

So, Part 9 of our series is to continue with the 4 D’s to clean up your Inbox and Backlog folder, if you have one.

Don’t worry if you don’t make it through the whole thing.  I sure didn’t.  Just start the journey with those 5 emails.  It’s funny how good it feels to take care of it!  And, please share by commenting on your progress.

On another note, I have to share how happy I am with the results at my campus.  I am proud to say that I’m getting emails back with excellent subject lines and (EOM) used to indicate there is no need to open the message.  Now, I’m lucky to work with an exceptional group of individuals but there’s no doubt that modeling has made some difference.  I thank those great folks at my campus for their dedication and willingness to give this a shot!

Apply the 4 D’s To Your Emails – Part 8 in a Series – Managing Email for Teachers & Administrators

Happy New Year to all of the MyWeb4Ed readers!  

Students and educators are returning back to school and it is time to continue our series on email management for teachers and administrators!  Let’s recap our previous steps which, hopefully, you are using:
  1. Write a great subject line
  2. Turn off automatic notifications
  3. Set aside specific times for email
  4. Only write one topic per email
  5. Create 4 folders:  Backlog, To-Do, Hold, and Archive
  6. Add a meaningful automatic signature 
  7. Flag your email when you need to follow up
If you haven’t started yet, that’s no problem.  Just go back in this blog to Day 1 and begin! :)   Take them one day at a time and before you know it, you’ll be at your 30-day email management goal!

Our next step in the series is one that really gets to the root of the email management goal:
Apply the 4 D’s to your Email
Do
Delete
Delegate
Defer
It’s really pretty easy once you get going and you get a great routine established that makes weeding through those emails very easy.  It works like this:
Begin at the top of your email list and for each one, apply one of the 4 D’s to it.
For each email, make a decision to do one of the following items.
  1. Do it by taking care of the request, replying to it, or whatever is needed.  The rule, remember, is if it can be done in 2 minutes or less, just do it and get it out of the way.  Then, move the email to your Archive folder.
  2. Delete it if is of no use, junk mail, will never be needed, etc.  This goes to the Trash to be forgotten.
  3. Delegate it to someone to complete, follow-up, reply, or whatever is necessary. You may need to Forward this and then put it in either Archive or Hold (if you need to check that it is complete).
  4. Defer it to your Tasks or To-Do list.  This means you need to flag it, put it on your calendar, or do something so you know that it still needs to be done but it may take more than 2 minutes so it will be set aside.

It is so tempting to begin one of the “to-do” tasks in the middle of your email routine but fight the urge and stick with the process until your inbox has been cleared and your items are either placed in Archive, Hold, To-Do’s, or Trash.

Remember, once you have weeded through it during your designated email time, then don’t go back through it until your next planned time to deal with email.  Instead, move on to some of the tasks or other items you have to work on in your normal day.  Those emails will be there the next time your designated email time arrives!

By the way, don’t forget to apply this to your Backlog folder.  Do you remember this folder?  This is the one that we set up previously to hold the inbox items that had built up until we had time to weed through them.  Now, go back to that folder and apply the 4 D’s to those items!  When your backlog folder is empty, delete it!  You’ll never need it again for this system!

If you haven’t, you really should give SchoolTube Hall of Fame a look at http://www.schooltube.com/user/HallofFame.  Great videos but real students.  They are bound to motivate you and serve as great examples for your students.  They have lots of great contests, too!

When Is Good: Plan Meetings At The Right Time

Plan the time to have your meeting or event by coordinating availability with all the participants using this fuss-free online tool, When Is Good.  The sites states :

An easy way to find out when everyone is free for your next meeting or event.

Click the grid for all the times that are good for you – you get a link to email to your invitees.
They see your proposed times and click on when they are free.
You visit your results page and see when everyone can do.

No sign-up form. No password to choose. No fuss at all.

I tried it with a group and school and it worked pretty well.  There was some confusion on the part of some of the folks who didn’t quite “get it” and the procedure when it arrived.  However, I suspect this would only happen the first time and then would be good to go!

Zoho Sites – Great Potential But Not Ready For Most

Just recently, Zoho Sites began a component of their Zoho service providing websites similar to Google Sites.  I was excited about the prospect and VERY impressed with the service.  Every theme is responsive so it looks great on all media devices.  It's easy to use, easy to set up, and easy to maintain!  It's really beautiful.  I seriously considered moving my blog there.

However, this will likely never happen under the current Zoho Sites setup because of some very real barriers.  For one, you cannot import from other sites.  I actually considered manually moving over 600 posts to Zoho, even did a few, but quickly realized it wasn’t practical. I wrote to them in their forum and they just reiterated what I already knew, that they could not import from other sites.  I was hoping they would say it was in the works but I’m afraid not.

There aren’t any plugins for Zoho Sites and publicizing  your site could be a problem.  Third party programs like Blogsy don’t work with Zoho Sites and there’s no other way to publish a post than to log on and do it through the Zoho Sites website.  You can’t email a post or set up a program like Windows Live Writer to add your blog entry.

However, if you are looking for a great way to write a blog and aren’t interested in these extras, Zoho Sites is a great option and I do recommend you give it a look.  It’s definitely worth that.

Need To Believe In Education? Attend A Graduation Ceremony!

If you have been having trouble believing in education or seeing a reason for all that you do, the solution may be very simple. Just attend a high school graduation ceremony. Last Thursday, I was lucky enough to be in the middle of a sea of bright shiny faces, all who were seniors about to go through a rite of passage. I was instantly reminded of the glory of what we do as educators. The air was electric with excitement emanating from the students and a stadium full of parents, grandchildren, and friends.

When the students entered the field, the roar of applause and gleeful shouts was overwhelming and serves to remind the world of the success these young people have accomplished. Memories of our own early beginnings into adulthood join the flood of emotions. Its really amazing. You cant help but become enveloped by the joy, the pride, and the potential that surrounds you.

Now, one new experience for me was the technology that was central to the events. Im not talking about the large screen display, or the streaming video that was simultaneously took place during the rites, but instead. It was the students who held their smartphones in their hands throughout the entire process, texting with family, snapping shots, and tweeting the event live. Now, Im talking almost 100% of the students had them in this large class of 800+ graduates.

Yes, we teach for a reason. And, we continue to share the importance of meeting the needs of this digital generation because we. Must. We simply must!

I really wanted to use the Pro features of this to track my learners but I went ahead and made my Playlist public because I want to be able to share this with you all.  I’m pleased with this and I’m really looking forward to feedback on them, especially from a learner’s prospective.

I wish I could have this public at all times and just enable the Pro features by giving a password to those that I want to track with those features.  (Hint, hint MentorMob.)
